Clinic management software for small clinics and OPD in India

A small clinic in India does not fail for lack of a ward module. It fails when the token queue and the doctor’s notes live in two places, and the only person who can find yesterday’s prescription is the doctor’s memory. This guide is for a one-doctor practice, a two-doctor polyclinic, or a nursing home whose day is still mostly OPD. It explains what clinic management software should do, and how to use a 30-day trial without turning it into a second job.

The product we describe is Hospital Cloud by GreyNova. GreyNova is an AI-first software company. Hospital Cloud is the hospital and clinic product, not the entire company. If you are choosing a full hospital system with pharmacy, lab and beds, the hospital buyer’s guide is the wider checklist. Prices are not listed here. They stay on the pricing page.

What a small-clinic morning actually needs

Stand at the desk for one hour and count the interruptions. A typical Indian consulting clinic mixes three kinds of arrival:

  • Booked patients who were given a time on the phone or on a link, and who expect not to sit for two hours.
  • Walk-ins who need a token, a file and a place in the same queue as the booked visits.
  • Follow-ups who should not be registered as a new person just because the paper file is in another room.

Behind that queue the doctor needs the last prescription, a place to write today’s note, and a way to hand the patient something they can take to a chemist. If you charge a consult fee or a procedure, someone needs a bill that your accountant will not redraw in the evening. That is the whole product for many clinics. Appointment software that only sends a reminder, and never opens the record, solves the phone calls and leaves the clinical work on paper.

Appointment software, clinic software, hospital software

Vendors use these words as if they were the same purchase. They are not.

Kind of toolIt is enough whenYou will outgrow it when
Appointment link or token appYou only need a list of who is coming, and notes stay on paper. The doctor asks “what did we give them last time?” and nobody can answer without the old slip.
Clinic / OPD softwareRegistration, bookings, a live queue and a doctor desk are the whole practice. You raise GST invoices, dispense medicine, run a small lab, or keep a patient overnight.
Hospital management softwareBilling, pharmacy, lab or a few beds are already part of the building. You are still a single consulting room and the setup asks you to configure wards you do not have.

Hospital Cloud is one product with plans for both ends of that line, so a clinic does not have to change software when the second doctor joins or when billing starts. The plans are the part to understand before you register.

Clinic plan and Basic plan, without the price list

Hospital Cloud’s self-serve plans for this decision are Clinic and Basic. Both include a 30-day free trial. This page does not quote fees. See the pricing section when you want figures, or ask info@greynova.in for a written quote if you need several sites.

Choose Clinic if the pain is the queue and the missing previous note. Choose Basic if the pain is the bill, the chemist counter, or a day-care bed. Do not start on the AI + Customer Engagement plan to “see the future”. It is arranged with sales, and the 30-day trial does not include those modules. You can add them later.

Two ways in, both on the real product rather than a slideshow:

Not sure which plan matches the room? Open onboarding and look around before you commit the organisation’s single trial. The trial starts when you register the clinic or hospital, not when you first click a brochure.

How to spend the 30 days

A 30-day trial is long enough to run real OPD and short enough that you should not spend the first three weeks designing letterheads. Use this sequence. It assumes one doctor and one person at the desk. Add a second doctor only after the first can finish a consult without help.

  1. Days 1–2. Create the clinic, the doctor and the desk login. Do not share one password. Register five old patients, including two with similar names, and search for them the next morning.
  2. Days 3–5. Run tokens beside the paper queue for half a day. Booked visits and walk-ins should appear in one list. If the desk keeps a parallel notebook “just in case”, write down which step felt unsafe. That step is the one to retest, not a reason to abandon the trial on day three.
  3. Days 6–12. The doctor writes the note and the prescription in the product for every patient in one session. English or Hindi voice notes are available if typing slows the room down. The test is whether the next follow-up opens that note without asking the patient to retell it.
  4. Days 13–20. If you are on Basic, raise the bills you really issue, including a GST invoice and a cancelled bill. If you are on Clinic, skip this and do not let a missing invoice module distract you from the queue.
  5. Days 21–27. Let the desk run a session while you are in the consult room, not hovering. Software that only works when the owner is watching will not survive a leave day.
  6. Days 28–30. Decide. The dashboard shows the days left, and reminders arrive before the trial ends. After day 30 you are asked to pick a paid plan. Data is kept under the platform’s retention policy. You cannot restart the free trial for the same organisation, so do not burn it on a cousin’s demo login.

What the desk and the doctor should agree before you pay

Sit down for twenty minutes with the person who faces the queue. Ask them to answer these out loud:

  • Can you find a patient who came last month without asking them to spell their name twice?
  • Can a walk-in get a token without destroying the booked list?
  • Can the doctor see that token without shouting across the corridor?
  • If you charge fees, can you reprint today’s collection without a calculator?
  • If you stop using the product, do you have an export, or only a login you are afraid to lose?

If the honest answer to the first three is no, another week of configuration will not fix a product that does not match the room. Go back to the hospital guide’s trial script if you are also judging pharmacy and billing depth.

What a small clinic should not buy yet

Leave these until the OPD is boringly reliable:

  • Ward and bed setup for a practice that sends admissions elsewhere.
  • A lab or pharmacy module when those sales happen at a shop next door and you only need the prescription printed.
  • AI and bulk WhatsApp before the record itself is trustworthy. On Hospital Cloud they are not in the Clinic or Basic trial. Write to info@greynova.in when you actually want them.
  • A second branch in the same week you train the first desk. Multi-site rollouts are a sales conversation, not a Saturday project.

Veterinary practices should not force a human OPD product to store species, vaccine batches and pet-owner logins. That is a different job, covered in the veterinary clinic software guide and by TailDesk.

FAQ

Questions small clinics ask

Is clinic management software different from a hospital system?

A small clinic lives on OPD: appointments, walk-in tokens, a short consult and a prescription. A hospital system adds wards, lab, pharmacy, insurance desks and a larger billing setup. The same product can cover both, but a one-doctor clinic should not start by configuring beds it does not have. Hospital Cloud splits this into a Clinic plan and a Basic plan so you can trial the smaller scope first.

Which Hospital Cloud plan should a small clinic try?

Trial Clinic if you need registration, appointments, a token queue and an OPD doctor desk. Trial Basic if you also bill procedures, raise GST invoices, handle insurance or TPA, run a pharmacy or lab, or admit patients. Both include a 30-day free trial, once per organisation, and the trial starts when you register the clinic. Neither trial includes AI features.

Does the 30-day trial need a card?

No. Hospital Cloud's Clinic and Basic trials do not ask for a card. The dashboard shows the days left, and you get reminders before day 30. After that you choose a paid plan. Your data is kept under the platform's retention policy. The free trial can be used once per organisation.

What if we only want online appointments?

Appointment links alone do not give the doctor yesterday's notes or a prescription that matches the visit. If appointments are truly all you need this month, the Clinic plan is still the one to open, because the token queue and the doctor desk sit next to the booking. You can ignore billing until you are ready.

When should we talk to sales instead of starting a trial?

When you want the AI doctor assistant, WhatsApp or email patient engagement, several sites, or a rollout that needs a commercial agreement. Those sit on the AI + Customer Engagement plan and are not part of the Clinic or Basic trial. Write to info@greynova.in.

Try the plan that matches the room

Clinic for appointments and OPD. Basic when you also bill or run pharmacy, lab or a few beds. Both trials are 30 days, with no card. The free trial is once per organisation.
