How to choose cloud hospital management software in India
A cloud hospital management system is supposed to replace the register, the token box and the billing file with one web app. In India that promise is easy to demo and easy to regret. This guide is the shortlist we would use if we were buying for a nursing home, a small hospital or a clinic that expects to add beds. GreyNova builds Hospital Cloud, so we say where it fits. The checks apply to any vendor.
If you run a one- or two-doctor consulting room and you do not admit patients, read the small-clinic and OPD guide first. If your patients are pets, this is the wrong product category: use the veterinary guide instead. GreyNova is an AI-first software company. Hospital software is one product line, not the whole firm.
Start from tomorrow morning, not the brochure
Write down one real OPD morning before you book a demo. Who registers the walk-in? Who hands out tokens? Which doctor sees follow-ups? Who prints the prescription? Who makes the bill, and does that bill need a GST split? Does a pharmacy counter dispense against that prescription the same day? Does anyone look at yesterday’s collection before they go home?
That list is your module list. A cloud hospital management system that cannot complete those steps with your staff, on your network, is not “almost ready”. It is a different product from the one you need. Features you do not use this quarter, such as a full ward module or an AI scribe, can wait. Missing the step your front desk does fifty times before lunch cannot.
What the software should cover
Use the table as a buying checklist. “Day one” means you will feel the gap in the first week. “When you have the counter” means you can go live without it if that room does not exist yet.
| Work | What to look at in the demo | When you need it |
|---|---|---|
| Patient registration | A new patient in under a minute, a repeat visit that finds the old record, and an ID your staff will actually say aloud. | Day one |
| Appointments and tokens | A booked visit and a walk-in in the same queue, with a check-in the doctor can see. | Day one |
| Consultation and notes | The doctor’s screen shows history, not a blank form. Templates help; they should not hide the last visit. | Day one |
| Prescription | The prescription is saved on the visit and can be printed or shared. It should be the same document the pharmacy sees. | Day one if you prescribe |
| Billing | A GST invoice you would hand to a patient, plus a receipt and a day-end collection view. | Day one if you charge |
| Pharmacy | Dispense against the prescription, and see stock and expiry without a second login. | When you have a counter |
| Lab and IPD | Orders, results on the record, beds or admissions only if you actually admit. | When those units exist |
| Reports and audit | OPD count, collections, and a trail of who changed a bill. | Before the first month closes |
Hospital Cloud is built around that path: registration, appointments, consultations, electronic medical records, prescriptions, billing, pharmacy and reports. Aadhaar QR can speed registration. Voice notes can be taken in English or Hindi. Those are useful in an Indian OPD. They are not a substitute for the queue and the invoice.
India-specific checks worth doing in the demo
GST invoices. Ask the vendor to raise an invoice for a consultation plus a procedure, with the tax split your accountant expects. Look at credit notes, not only the happy-path bill. If the demo invoice is a generic receipt with tax typed into a notes field, you will rebuild billing in a spreadsheet within a month.
Insurance and TPA. If you do cashless work, watch a case move from authorisation to the final bill. If you are cash-only, you can defer the TPA screens, but the record should still be able to store a payer so you are not stuck when the first corporate patient arrives.
Language and consent. Doctors who switch between English and Hindi should not have to leave the consult screen to do it. If the product sends WhatsApp or email to patients, ask where consent is recorded and what happens when a patient says no. A broadcast tool without a consent record is a liability, not a feature.
Identity at the desk. Aadhaar QR is a fast way to fill a registration form. It is not a reason to store more identity data than the visit needs. Ask what is saved, who can open it, and how a patient asks for a correction. The public contact for GreyNova products is info@greynova.in.
Separate logins. The doctor, the front desk, the pharmacist and the accountant should not share one password. If the smallest plan only allows a single login, you do not have a hospital system. You have a notebook with a login screen.
Cloud versus a computer in the back office
Cloud hospital management software means the application and the updates live with the vendor, and your staff use a browser. That is the right default for most small and mid-size hospitals in India, for three practical reasons.
- You do not schedule a technician every time the vendor fixes billing. The update is already there the next morning.
- The same record opens on the registration desk, the doctor’s room and a phone at the pharmacy, without copying a database onto each machine.
- A stolen or failed PC is not the only copy of ten years of patients, provided you have confirmed backups and an export.
The trade-off is the connection. Before you sign, sit in the OPD for an hour on the network you actually have, not the vendor’s office Wi-Fi. Ask, in writing:
- What still works if the broadband drops for thirty minutes? What queues and syncs later?
- Where is the data stored, and how often is it backed up?
- Can you export patients, visits, prescriptions and bills in a file another system can read, and can you try that export during the trial?
- Who is on call when the front desk cannot print at 9am, and is that included or billed separately?
A vendor who cannot show an export is asking you to rent your own medical records. Treat that as a reason to keep looking, whatever the demo looked like.
Small clinics and full hospitals are not the same purchase
Cloud hospital management software for small clinics in India is often the same codebase as a hospital system, sold with fewer modules switched on. That is fine if the plan can grow. It is a poor deal if the “clinic” plan is a dead end and the “hospital” plan assumes wards, a lab and a night shift you do not have.
A practical split:
- Consulting clinic. Registration, appointments, token queue, doctor desk, prescription. Billing can be simple. See the clinic guide for how Hospital Cloud’s Clinic and Basic trials map onto that.
- Nursing home or small hospital. Everything above, plus GST billing, and pharmacy, lab or IPD for the units you already run. Insurance and TPA if you do cashless work. An audit trail before the accountant closes the month.
- Several sites. Do not discover multi-branch limits after go-live. Ask whether each site has its own queue and bill series, and whether a patient can be found across sites. That conversation is usually a sales quote, not a self-serve trial.
How to run a trial that is worth the time
Give the trial a script. Two weeks is enough to know if a cloud HMS will survive your OPD. You do not need every department live.
- Week one: your front-desk lead registers ten past patients from the paper register, including two people who share a name and one return visit. If search fails here, stop.
- Still week one: one doctor completes three consults with a note and a prescription, on the device they will really use. If they need you sitting beside them for the third patient, training is part of the cost.
- Week two: raise the invoices you actually issue, including a cancelled bill and a bill with tax. Print them. Ask your accountant to look, not the salesperson.
- If you have a pharmacy, dispense one prescription and check that stock moved. If you do not, do not pretend a stock module is a reason to delay go-live.
- On the last day, export the data and open the file on a computer that is not logged into the product. If the export is missing, you have your answer.
Hospital Cloud offers a 30-day trial on the Clinic and Basic plans. It starts when you register the organisation, it does not ask for a card, and it can be used once per organisation. The trial follows the plan you pick. Clinic and Basic do not include AI modules. The AI doctor assistant and WhatsApp or email engagement are on a separate plan, arranged with sales. Current plan prices are on the Hospital Cloud pricing page, not in this guide. You can open the live onboarding before you decide which plan to try.
Questions to send before you subscribe
Copy these into an email. A useful vendor answers them in writing.
- Which roles are included, and what happens when we add a doctor or a second branch?
- Which messages, storage or modules are metered on top of the plan?
- What does your team do during the first week of go-live, and what do we do ourselves?
- How do we get a full export if we leave, and how long do you keep data after the subscription ends?
- What is the path from a clinic plan to billing, pharmacy and IPD without re-entering patients?
For Hospital Cloud, custom and multi-site quotes go to info@greynova.in. The product itself, the live demo and the plan overview are all on the Hospital Cloud page.
A sensible order of work
Buy for the morning you already run. Confirm GST billing if you charge for care. Confirm an export before you migrate the old register. Add pharmacy, wards and AI when those teams are ready to use them, not because they were on a comparison grid. If the practice is still a single consulting room, switch to the small-clinic guide and trial the smaller plan. More GreyNova notes are on the buyer guides index.
FAQ
Questions buyers ask
What is a cloud hospital management system?
A cloud hospital management system is software that runs in a browser and covers the work of a hospital or clinic: registering patients, booking visits, recording the consultation, writing a prescription, raising a bill and, when you need them, pharmacy and reports. Staff sign in from the desk, a tablet or a phone. The vendor hosts the app and the updates, which is the practical difference from a program installed on one computer in the back office.
Is cloud hospital management software realistic for a small hospital in India?
Yes, if the trial matches a real OPD day and you have checked what happens when the internet drops. Small hospitals and nursing homes usually need registration, a token queue, the doctor's note, a GST invoice and a way to export their data. They do not need every module on day one. A clinic that is still mostly walk-in OPD may be better on a clinic plan first.
Which modules should be in the first purchase?
Start from tomorrow morning's queue. Most Indian hospitals need patient registration, appointments or tokens, a doctor desk, prescriptions, and billing that can raise a GST invoice. Add pharmacy, lab, IPD and insurance or TPA when those counters already exist. AI assistants and WhatsApp campaigns are useful later; they should not be the reason you pick a system you have not run on a live OPD.
How do we compare price if the brochure has no figure?
Ask for the current plan list, what is included, and what is billed extra, such as messages, extra doctors, extra sites, training or data migration. On Hospital Cloud, Clinic and Basic can be tried for 30 days and the current prices are on the pricing page. For a multi-site or AI rollout, ask GreyNova at info@greynova.in for a written quote. Compare that quote with the person-hours the software replaces.
What should a free trial prove?
That your own front desk can register a patient, your doctor can finish a consult and a prescription, and your billing person can raise an invoice you would actually hand over. You should also leave with a sample data export. A slide demo does not prove any of that.
